Members shall complete Veritone Contact entries consistent with DN 26-038. In addition to completing the initial Veritone Contact entry, a Supervisory Review is required prior to submission to the California Department of Justice (DOJ). Submission of Veritone Contact entries to the California DOJ is handled automatically by the Business Analysis Team (BAT) on a scheduled basis. Supervisors and members shall not manually submit Veritone Contact entries to the DOJ.

Effective 8/15/2026, all supervisors will be given "Reviewer" status in the Veritone application.

MEMBER RESPONSIBILITIES

Members are reminded they shall complete all required Veritone Contact entries prior to going 10-7E.

After submitting a Veritone Contact entry, the member shall notify their supervisor that the entry is awaiting review.

If a Veritone Contact entry is rejected, the member shall correct and resubmit the entry by the end of their shift.

SUPERVISOR RESPONSIBILITIES

All Station and Unit supervisors are responsible for ensuring the review and approval of Veritone Contact entries submitted by members assigned to their command. Upon notification that a Veritone Contact entry has been submitted, the supervisor shall:

  1. Access the Veritone Contact application and search for the Veritone Contact entry by typing the member's name in the search bar or selecting the member from the Officer drop-down list.
  2. Ensure the entry is complete, accurate, and compliant with reporting requirements.
  3. Either (1) approve the Contact entry or, (2) reject the Contact entry with a reason for rejection and how to correct the entry (verbally or in the message box in the Veritone application).

Supervisors shall not review and approve their own Veritone Contact entries. Veritone Contacts submitted by a supervisor shall be reviewed and approved by another supervisor. Supervisors shall not remove any Veritone Contact entry for any reason.

All reviews shall be completed daily, prior to the end of the supervisor's watch, unless exigent circumstances exist, or the review is delegated to another supervisor.

Supervisors shall monitor the "Under Review" and "Review Rejected" queues to ensure compliance.

REVIEW STANDARDS

When reviewing a Veritone Contact entry, supervisors shall ensure:

  • The entry is complete and consistent.
  • No Personal Identifying Information (PII) appears in the subject box or narrative fields (e.g., names, residents' addresses, initials, etc.).
  • For stops with multiple subjects, ensure the subjects are labelled by number (Veritone Contact default) or described based on appearance or clothing (not the name or initials of the subject).
  • The "Reason for Stop" and "Basis for Search" fields clearly articulate a lawful basis.

DATA VALIDATION AND COMPLIANCE

The Crime Strategies Division, through the BAT, will conduct periodic data validation of Racial and Identity Profiling Act (RIP A) stop reports and forward the findings to the Risk Management Office (RMO), which will provide the results to the appropriate Division Commander for review, corrective action, and compliance.
